Changing and Improving SEO Example — 250-Word Statement
At SEO level, assessors want team-wide change leadership. Your example should show you spotting a systemic problem, redesigning the process, handling sceptics through involvement rather than authority, training or briefing the team, and checking afterwards that the change stuck. Results should cover a whole team, not just your own work.
Example statement
SI coordinated volunteers at a busy community food bank serving around 300 households a week. Our paper intake form had grown bit by bit over the years, and new volunteers found it confusing, which slowed down registrations at the door.
TI led the intake team, so improving the form and the process around it was my responsibility.
AI reviewed 50 completed forms and found repeated errors in the same three sections. I drafted a shorter version, removing duplicated questions and grouping items in the order volunteers naturally asked them. Before changing anything, I checked with the charity manager which fields were required for funder reporting, so nothing essential was lost. I piloted the new form with four volunteers over two Saturdays and observed them using it with clients. Their feedback led me to add a prompt box for dietary needs and a plain-English explanation at the top for clients. One long-serving volunteer preferred the old form, so I sat with her, explained why accuracy mattered for the clients, and invited her to suggest an improvement, which we included. I then briefed all 18 volunteers in two short sessions and put a laminated guide at each desk. I monitored error rates for a month and shared the results openly with the whole team.
RForm errors fell by around 60%, average registration time dropped from twelve minutes to seven, and we cleared the Saturday queue backlog within three weeks. The charity manager shared the template with two partner food banks.

Why this scores well
- At SEO, assessors expect you to lead change across a team: you reviewed evidence, redesigned the form, piloted it and briefed all 18 volunteers.
- You handled resistance well, involving the sceptical volunteer rather than overruling her, which shows the people side of leading change.
- You checked constraints before acting (funder reporting requirements) and monitored impact afterwards, showing governance and follow-through.
What SEO level requires
| Grade | What assessors expect |
|---|---|
| HEO | At HEO, Changing and Improving means reviewing working practices, leading small-scale change with a clear method, involving the people affected, and measuring whether the change worked. |
| SEO ← this page | At SEO, Changing and Improving means leading change across a team: challenging inefficient practice constructively, bringing people with you through resistance, and embedding improvements so they last. |
| Grade 7 | At Grade 7, Changing and Improving means leading significant change beyond your own team: building the evidence and investment case, managing risk and inclusion, and delivering measured benefits at service scale. |
Common mistakes at this level
- Describing a change to your own work when the grade expects team-wide scope
- Overriding resistance in the story instead of involving the sceptic
- No embedding: the change launches but nothing shows it lasted
Frequently asked questions
It looks like ownership of the whole cycle: you identified the problem with evidence, redesigned the process, convinced the people affected, trained or briefed them, and monitored the result. The scale is usually one team or one service area. Assessors want your fingerprints on every stage, in first person.
Name one sceptical person or group, then show involvement: you listened to their concern, explained the purpose, invited their input and used some of it. That demonstrates change leadership. Declaring that you 'explained the benefits and they agreed' reads as shallow — show the actual exchange and its effect.
Yes, if the scope is right. Leading 18 volunteers through a new intake process at a charity shows the same leadership as an office team. Assessors score the evidence of leadership and improvement, not the setting. Make the scale, your role and the measured outcome explicit, as you would for paid work.
